Yamato Financial Co., Ltd. recognizes the corporate social responsibility to appropriately handle and protect customer names, addresses, email addresses and other information which can be used to identify specific individuals (hereafter referred to as “private information”) when conducting COD orders and other settlement procedures for logistics services. We have implemented the following measures in accordance with Japanese Industrial Standards (JIS Q 15001: 2006 “Requirements for Private Information Protection Management Systems”).

1.Purpose

In addition to specifying the purpose for using private information, our company handles private information within the scope necessary for achieving that purpose. We have established measures to ensure that private information is not handled in any way that exceeds that necessary scope. 2.Acquiring of Private Information

When acquiring private information, our company first informs customers of the purpose for using the information and of the sections within our company which are responsible for handling the information. After such information is disclosed, acquirement is performed within the necessary scope.

3.Restrictions for Supplying Information to Third Parties

Except for cases established by law, our company does not disclose or supply private information to any third parties other than consignees and business partners without the agreement of the customer.

4.Compliance with Consignment Contracts

In regards to consignment contracts, our company conducts appropriate handling of private information obtained from the consignor and uses the information within the scope of the consignment contract.

5.Management System

In addition to establishing an “Information Security Committee" in order to strengthen measures related to company-wide protection of private information, our company designates an “Information Manager" in each division which handles private information. Furthermore, we hold continually educational activities for employees in regards to private information.

6.Appropriate Management of Private Information

Our company makes every effort to ensure that private information is protected and managed in an accurate and up-to-date condition. We have also established secure management measures in order to prevent invalid access to private information, as well as to prevent loss, destruction, modification and leakage. Furthermore, even if an accident should occur, we put maximum effort into provide rapid and accurate response, as well as correcting the problem through measures such the preventing reoccurrence of the accident.

7.Supervision of Consignees

When consigning the processing of private information to an external party, appropriate supervision is conducted and contracts are enforced with the consignee to prevent leakage or re-consignment of private information from the consignee.

8.Requests for the Disclosure of Private Information, etc.

Regarding requests for the disclosure, correction, deletion, and suspense of use of private information, rapid response within a reasonable scope will be performed once the request has been received by the applicable section of our company. Detailed procedures are provided on our company homepage.

9.Compliance with Laws and Regulations

When handling private information, our company complies with all laws, regulations, national policies, and guidelines which pertain to the handling of private information.

Regarding Handling of Our Customers' Private Information

1.Purpose of Private Information

(1) Business Activities

  1. Collection activities for transaction payments, etc., and other associated activities.
  2. Online settlement service and associated activities.
  3. Other activities which can be performed by our company and associated activities (including activities for which permission is granted in the future).

  1. For receipt of application for the use of various settlement services.
  2. For confirmation of qualifications for the use of various settlement services.
  3. For exertion of rights and implementation of obligations based on contracts with customers and on laws and regulations.
  4. For research and development of various settlement services through market surveys and data analysis.
  5. For proposal and guidance, such as the issuance of direct mail, in regards to various settlement services.
  6. For proposal and guidance regarding the products and services of partner companies.
  7. For other important announcements related to the provision of service.

2.Procedures for Requesting Disclosure, etc.

Based upon the "Act on the Protection of Personal Information", when a request is received from a principal or from an agent, our company supports procedures for requesting disclosure as detailed below.
Retained private data which is subject to procedures for requesting disclosure is listed below.

  1. Information of shippers who have conducted contracts for or applied for the Takkyubin Collect (COD).
  2. Information of customers who use Kuroneko@Payment.
  3. Information of member stores that use Kuroneko@Payment.
  4. Information of customers who use Kuroneko Web Collect.
  5. Information of member stores that use Kuroneko Web Collect.
  6. Information of shippers who are registered in the Kuroneko Tankentai (The search engine for internet shopping site).
  7. Information of customers who use the Takkyubin Escrow service.

(2) Items Subject to Procedures for Requesting Disclosure

3. Voluntariness of Providing Private Information

The provision of private information from customers is voluntary. However, it may not be possible to use some services if required information is not provided. There will be no negative effect on services even if information is not entered for voluntary items.

4.Internet Security

(1) SSL

  1. The private information of customers is protected by SSL (Secure Socket Layer) on the homepages for services of our company. By using a browser which supports the security functions of Netscape Navigator and Microsoft Internet Explorer, the names, addresses, telephone numbers and other private information entered by customers is automatically encrypted for sending and receipt. In the unlikely event that sent data is intercepted by a third party, encryption prevents the theft or modification of information. (Due to the nature of the internet, our company does not completely guarantee the security of information during transmission. We ask that customers thoroughly implement all necessary measures to ensure the security of information, such as periodically changing passwords and promptly notifying our company when invalid use of information is suspected.)

(2) System Protection

  1. The internet registration system for our company's service is protected from invalid external access through the establishment of multiple check functions and firewalls. Furthermore, only authorized personnel are able to access private information.

(3) Cookies

  1. “Cookies" is a function which makes viewing this site even more convenient for customers who are revisiting homepages for the services of our company. Cookies does not violate customer privacy. Furthermore, Cookies will not have a negative effect on customer computers. It is possible to reject Cookies by specifying settings for browsers such as Netscape Navigator and Microsoft Internet Explorer. Rejecting Cookies will not adversely affect the viewing of this site. Please contact your software provider for information regarding browser settings.
  2. “Cookies" is a small piece of text that is sent from the website to the customer's computer. Cookies is then saved to the hard disk of the computer, unless it is receipt of Cookies is rejected by the customer. Cookies is able to identify the customer's computer.
