Yamato Financial Co., Ltd. recognizes the corporate social responsibility to appropriately handle and protect customer names, addresses, email addresses and other information which can be used to identify specific individuals (hereafter referred to as “private information”) when conducting COD orders and other settlement procedures for logistics services. We have implemented the following measures in accordance with Japanese Industrial Standards (JIS Q 15001: 2006 “Requirements for Private Information Protection Management Systems”).
In addition to specifying the purpose for using private information, our company handles private information within the scope necessary for achieving that purpose. We have established measures to ensure that private information is not handled in any way that exceeds that necessary scope. When acquiring private information, our company first informs customers of the purpose for using the information and of the sections within our company which are responsible for handling the information. After such information is disclosed, acquirement is performed within the necessary scope.
Except for cases established by law, our company does not disclose or supply private information to any third parties other than consignees and business partners without the agreement of the customer.
In regards to consignment contracts, our company conducts appropriate handling of private information obtained from the consignor and uses the information within the scope of the consignment contract.
In addition to establishing an “Information Security Committee" in order to strengthen measures related to company-wide protection of private information, our company designates an “Information Manager" in each division which handles private information. Furthermore, we hold continually educational activities for employees in regards to private information.
Our company makes every effort to ensure that private information is protected and managed in an accurate and up-to-date condition. We have also established secure management measures in order to prevent invalid access to private information, as well as to prevent loss, destruction, modification and leakage. Furthermore, even if an accident should occur, we put maximum effort into provide rapid and accurate response, as well as correcting the problem through measures such the preventing reoccurrence of the accident.
When consigning the processing of private information to an external party, appropriate supervision is conducted and contracts are enforced with the consignee to prevent leakage or re-consignment of private information from the consignee.
Regarding requests for the disclosure, correction, deletion, and suspense of use of private information, rapid response within a reasonable scope will be performed once the request has been received by the applicable section of our company. Detailed procedures are provided on our company homepage.
When handling private information, our company complies with all laws, regulations, national policies, and guidelines which pertain to the handling of private information.
Reform of the Private Information Protection Management System is performed based on the development of information technology and changes in social requests. Furthermore, we strive to continually reform the handling of our customer's private information.
